Privacy Policy
Universal Awareness Fellowship (“UAF,” “we,” “us”) is a spiritual fellowship and 501(c)(3) nonprofit religious organization. This policy explains what personal information we collect, how we use it, who we share it with, and the choices you have.
It covers all of our online services:
- Our public website at universalawarenessfellowship.org, where anyone can learn about our programs, contact us, subscribe to our newsletter, or make a donation.
- The UAF Member Portal — a website and mobile app that helps our members prepare for and stay connected to our retreats, groups, and programs.
Some of what follows applies only to members using the portal. Where that’s the case, we say so.
Information we collect
We collect information you provide to us and information generated as you use our services.
If you visit our public website
- Inquiries: if you use our contact form, we collect your name, email address, phone number (optional), the subject of your inquiry, and your message.
- Newsletter: if you subscribe, we collect your email address.
- Donations: if you give, we collect the information needed to process and receipt your gift. Card details are handled by our payment processor and are never stored by us. If you set up a monthly gift, our payment processor holds the recurring payment record until you cancel it. If you give by Zelle, the transfer runs between your bank and ours, and we receive whatever details your bank sends with it.
- Public events: if you reserve a spot in a public event, we collect your name, email address, and the number of spots, and our payment processor handles the payment. You do not need to be a member, and we use what you give us to send your confirmation, the joining link, and reminders for that event.
- Retreat inquiries and applications: if you request an interview or begin an application, we collect what that form asks for and the details needed to schedule your conversation.
- Technical data: basic device and usage information needed to operate and secure the site. See “Cookies and analytics” below.
You do not need an account to browse our public website.
If you are a member using the Member Portal
- Contact & profile: name (and preferred name), email address, phone number, messaging handle (e.g. Telegram), mailing address, city/state, and date of birth.
- Health information: when a retreat requires it, we collect a medical-history intake (health conditions, medications, and related details) and emergency-contact information through our own system. This is sensitive personal information that we collect only to support your safety and care during a retreat, and only with your submission.
- Program participation: the retreats and groups you take part in, your preparation checklist progress, form submissions, testimonials you choose to share, and survey responses.
- Payment records: confirmation that a payment or deposit was made, and receipts. Card details are handled by our payment processor and are never stored by us.
- Communications: emails we send you and your responses.
- Technical data: basic device and usage information needed to operate and secure the app.
How we use your information
- To respond to inquiries from our website and follow up about our programs.
- To send our newsletter and program announcements, if you’ve asked to receive them.
- To process donations and retreat payments, and to issue receipts.
- To reserve spots in public events, send joining links and reminders, and issue receipts.
- To schedule and hold retreat interviews and review applications.
- To prepare members for retreats and programs and track readiness checklists.
- To provide medical and emergency support before and during a retreat.
- To send reminders, announcements, and program communications.
- To operate the optional member directory and Growth Groups members choose to join.
- To keep our website and portal secure, and to improve our programs.
Your sensitive health information
Medical-history and emergency-contact information is used only to support your care and safety in connection with a retreat. It is not used for advertising, is not sold, and is shared only with the UAF facilitators supporting your retreat and the service providers that store it for us (below).
Cookies and analytics
We use only what we need to operate our sites and understand, in aggregate, how they’re used. We do not use advertising cookies, and we do not allow third parties to track you across other websites for advertising purposes.
Some of our pages carry content served by others. Videos are embedded through YouTube’s no-cookie player, and their preview images load from Google’s servers when the page opens, whether or not you press play. Our typefaces are served by Bunny Fonts and Google Fonts. These providers receive your IP address and basic request information in order to deliver that content to your browser. We do not use them to build a profile of you.
How we share information
We do not sell your personal information. We share it only with:
- UAF facilitators and organizers who need it to run your retreat or program.
- Other members — only if you opt in to the member directory, and only the fields you choose to make visible.
- Publicly, on our website — the testimonials and stories you have given us permission to publish. We publish them without names, identified only by a general age range and the program attended.
- Service providers (“processors”) who operate our website and portal on our behalf, under contract, limited to what they need: Supabase (secure data storage), Vercel (hosting), Stripe (payment processing), Resend (email and newsletter delivery), Dropbox (encrypted backups), Spotify (embedded playlists), YouTube (embedded video), and Bunny Fonts and Google Fonts (typefaces). Our forms, including the medical intake, run on our own system. Each provider has its own privacy practices.
- Legal — if required by law or to protect the safety of our community.
Data retention
We keep your information for as long as you are a member, or as long as needed to respond to your inquiry, send communications you’ve requested, run our programs, and meet legal obligations. You may ask us to delete your information at any time (see “Your choices & rights”). Donation records are retained as required for tax and nonprofit reporting purposes.
Your choices & rights
- Access & correction: members can view and edit much of their profile in the portal. Anyone may ask us to access or correct the information we hold about them.
- Directory visibility: members control whether they appear in the member directory and which fields are shown.
- Deletion: you may request deletion of your account and personal information by emailing us at the address below. We will delete it except where we must retain limited records by law.
- Communications: you can unsubscribe from our newsletter using the link in any email, or opt out of non-essential emails at any time.
Security
We use reputable providers and reasonable technical and organizational measures to protect your information. No system is perfectly secure, but we work to safeguard sensitive data and limit access to those who need it.
Children
Our programs and the Member Portal are intended for adults (18+) and are not directed to children. Our public website is general-audience informational content, but we do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. We will post the updated version here with a new “Last updated” date.
